1. Purpose and scope
This page explains EBA’s safeguarding approach and how to report a concern connected with the platform, a tutor connection or an EBA Strategy meeting.
EBA is an online practice service, not an emergency service, school or statutory child-protection authority. This page does not replace the safeguarding policy of a school, tutor, tuition provider or other organisation.
2. Safeguarding principles
EBA’s principles are:
- the child’s welfare and best interests come first;
- child access is controlled through adult-managed profiles;
- data and visibility should be limited to what is needed;
- concerns should be reported through clear routes and handled promptly; and
- EBA may restrict access while a concern is assessed.
3. Tutor and class connections
A tutor connection becomes active only after both the parent or guardian and tutor approve it through EBA. Either can revoke it. EBA may also remove or suspend a connection for safety, privacy or security.
A connection permits only the access and educational functions shown in EBA. It does not authorise a tutor to contact a child privately outside EBA or remove the parent’s, tutor’s or organisation’s safeguarding duties.
EBA does not continuously monitor interactions or services that happen outside the platform.
4. Meetings in EBA Strategy
Some EBA Strategy packages may include a meeting delivered by a person. The booking information will identify the meeting format and intended participants.
The responsible adult must ensure that the child’s participation and supervision are appropriate. Meeting information must not be used to arrange unauthorised private contact with a child. EBA may end or decline a meeting if conduct or circumstances create a safeguarding concern.
5. How to report a concern
For an EBA-related safeguarding concern, email support@exam-bytes.co.uk with “Safeguarding concern” in the subject. Include only the information reasonably needed to explain:
- who or which profile or class is involved;
- what happened or was observed;
- when it happened;
- whether the child is currently safe; and
- how EBA can contact the reporting adult.
Immediate danger
If a child or another person is in immediate danger in the UK, call 999. Suspected online sexual abuse or exploitation can also be reported through the NCA CEOP Safety Centre at ceop.police.uk.
6. What EBA may do
Depending on the concern, EBA may:
- acknowledge and gather necessary information;
- restrict an account, class, connection or meeting;
- preserve relevant records;
- contact the responsible adult;
- refer the matter to law enforcement, children’s services or another appropriate authority; or
- take no further platform action where the matter falls outside EBA and no platform risk remains.
Investigation privacy
EBA may be unable to share every detail of an investigation or referral, especially where doing so could affect a child, another person, law enforcement or privacy rights.
7. Responsibilities of parents, tutors and administrators
Adults should:
- keep account and contact information accurate;
- use child profiles and visibility controls appropriately;
- approve and revoke tutor connections promptly;
- not share child data or EBA access beyond the authorised purpose;
- follow the safeguarding duties that apply to their own tutoring, school or organisation; and
- report concerns promptly rather than attempting to investigate a serious concern alone.
8. Helping children report concerns
Children should be told in age-appropriate language who can see their EBA activity and how to tell a trusted adult if something worries them. Privacy for children gives a simple explanation and links back to this reporting route.
9. Safeguarding information and privacy
EBA limits safeguarding information to people and providers who need it for safety, investigation or legal duties. Relevant records may be kept longer than ordinary account data where necessary to protect a child, cooperate with authorities or deal with a legal claim.
The adult Outreach system does not receive child names, email addresses, answers, question responses or detailed performance. A safeguarding record is access-restricted and is never used to target marketing or outreach.
